Tips to Help You Clean Off
Your Desk
1. Make an appointment:
Don’t just hope you find the time to clean up, set a calendar entry
and stick to it.
2. Use the right tools:
Set a timer for the length of time you have decided to work on your
project.
Boxes or storage containers to use for sorting.
Garbage/recycling bags or box for shredding.
Organizer (paper or electronic) to enter to-dos, addresses or calendar
data.
3. Get started:
Sort - everything into boxes/containers according to what needs to be
done: file, shred, recycle, refer, toss, etc. (Use the "Priority
Folder" system)
Remove everything else - pens, stapler, toys, gadgets, phone, monitor,
etc.
Dust and polish - give your desktop a cleaning. This will also
reinforce the idea of a “fresh start” for your desktop.
Replace necessary items - The only things you should have on your
desktop are items that you use daily. (The top of your desk is "Prime
Real Estate")
Process the stuff you sorted- Take the items you sorted and put them
where they belong.
Take out the trash - Get rid of the garbage. Don’t let it sit around
the office for a couple of days: shred, recycle or toss.

Six of Eight
It’s all about paper flow and time management
Keep the Cow from
returning
Of course, it’s easy for that belligerent bovine to climb back up on
your desk. All you have to do is let the paper start to accumulate
again, without handling it and moving it along. So at least once a
week, take all the paper you have and file it again.
Time and motion experts say we handle a typical piece of paper eight
to ten times before we finish dealing with it. The ultimate goal is to
handle everything just once, but of course that’s not always possible.
When you ask the right question, you’ll probably cut the number of
times you handle paper in half. Your paper should flow across your
desk.
In order to flow, it has to move. So here’s the question to ask, each
time you pick something up: “What can I do with this paper to keep it
flowing across my desk?” You’ll find a number of options spring to
mind.
I recommend that you use the OHIO and D-FAT systems regularly.
Remember to keep the paperwork flowing, always in motion.
You can also use a set of “active” desk files for the most critical
things. I call this “The Priority Folder System (The solution to your
Inbox nightmare)” They’re brightly colored vinyl, guaranteed to last
on the job as long as you do (even longer!), and you can create a
system to make active files easily accessible.
I labeled them (on the front side, of course, using the Simpson
Shuffle) To File, To Do, Bills Due, Urgent, Pending and To Read. You
may create your own or purchase a set from our Web site. They are
vinyl, already labeled and built to last.
Keep these files in an easily accessible location. You may decide to
put them in an incline desktop file rack on your desktop, or in the
front of a nearby file drawer in a hanging folder. Then when something
arrives on your desk, you have an easy system for prioritizing and
just place it in the appropriate folder.
The durability of these folders makes them portable, too! If you’re
headed out to a meeting, or leaving town and going to the airport,
grab the folders you need and put them in your briefcase. I
particularly like taking the To Read file with me when I travel or go
on appointments. Too often, we neglect the part of the job that
requires us to stay informed and current.

you can utilize that “down time” for something useful to you or your
career?

Easier Organizing for Your New
Year
Use these New Years organizing tips whether you have a file 'system' -
or not!
In January set up a Tax Box to hold all your 2006 tax documentation.
Set up an archive box (for a lot) or a file tray (for a little) marked
Taxes 2006. While sorting your mail put all 1099's, W-2's, business
related receipts and any tax-related material in it.
You can set up file pocket folders in your Tax Box for Forms, and
Personal, Business/Employer, or Investment/Real Estate documentation.
Many people create His, Hers, Ours, and IRS folders in addition to
their financial files.
If you have a filing system, but, you're bogged down in old records:
Pull last year's financial files (e.g., bank statements) and business
or employment expenses (e.g., receipts) and income (e.g., invoices) or
any tax-related item. Sort prior years' tax and legal or financial
documents into boxes marked by year.
As you are taking 2006 files out of your office system, make the
replacement 2007 file folders for all of your regular home and
personal business or financial (e.g., credit cards) and legal (e.g.,
insurance) documents.
Now, you have separate files for current financial documents in the
New Year and a working Tax Box for April 15th that will become your
Tax Archives.
If you do not have a working file system for your Home, Small
Business, or Business with Employees, let me recommend the shortest
distance between chaos and a fully indexed color-coded file system.
75 % of all home and small business filing systems are the same. Look
online for a pre-designed file system. You'll spend more money driving
to the store and buying blank labels and supplies than it costs you if
you use the pre-designed file system that matches your needs.
I like quickly setting up the standard 75%, and then customizing the
blank labels for new titles in my client's file system. Using these
pre-designed file systems with (or without) a professional organizer
makes it easy to save your time and money.
I recommend you select and set up files for 2007 that fit your needs.
Then, follow the same tax and archiving tips above for the working
file system - because now you have one.
Just setting up the Tax Box will help you start the New Year out
right, but it's no substitute for an ongoing paper management system
after April 15th.
