I hope you will be proud of
me. I went through the entire follow-up recap and
recommendations you sent me from our first efficiency session
together. I addressed each recommendation. The changes are
good and well needed. So, here you go:
Time Management- #1-I cut back on the sticky notes and the
ones I do have are on one page in the steno note pad. Don't
seem to be looking at those as often.
#2-To do List-Still using my steno pad, but my list doesn't
seem to be growing as it was. I have started working on the
two client projects that I kept putting off.
#3-Advance follow-up email. I love this new tool and I have
used it, but I need to get into a habit of using it more.
#4-Great Assistant-I am working on this one. I was approached
by someone that goes to my church who wants to intern for me.
She asked several months ago, but we never got together, so
I'm in the process of setting up an appointment with her. If I
can train her for 6 months (free) then I will offer her a
position based on how well she picked up everything. She has
taken accounting classes and her last job was in accounting. I
will keep you posted. The goal would be to get an office, hire
her 20hours a week. She will be the assistant and she would
work on all but three client files.
#5-Employee Deadline-My current assistant is still out of town
until the 21st-I have not sit down to make those changes we
discussed, although I have looked online for free online time
clocks, which is what I think I might do instead of the phone
call. I haven't quite made up my mind yet though, because by
her calling me-she will know that I am holding her accountable
???
#6-Managing Phone Calls-Very hard. I haven't started doing
this, but I have started implementing checking the emails
before lunch.
#7-Multi Function PDA??..guess what? I finally updated by
blackberry where I have the pda working, although I haven't
started using the task's in it yet.
Desk Organization-
#1????..COMPLETE! Wow, so much more space-I love the "Priority
Folder System"
#2???..COMPLETE!
#3???..COMPLETE!.............Implementing! PFS files are full
and I need to spend an entire day cleaning them out.
#4???..COMPLETE!............Implementing! Time management

File Organization-
#1????..1/2 COMPLETE! Wow #2-that little table was taking up
so much space. I have not yet created a filing system.
#2-File labeling???.haven't made any files yet.
#3-Simpson Pull System????haven't implemented yet.
#4 & #5-File manager & Purging-I haven't enrolled a family
member just yet, but I filed or threw away everything that was
on that table and that was in my in basket. It was a bit of a
struggle, but I did it.
#6-Paper Clips???.haven't implemented yet.
#7-Mobile file Box - I haven't implemented yet.
So, that's the scoop. I try to read you list for me at least
once a week-I need to keep it before me as I implement the

See the "things" around me -"Valerie's coaching enabled me to see the
"things" around me that were not necessary to do my job and might just

"I had grown quietly but increasingly
desperate, seeing my office desk piling up ever more with clutter each
day, noting I could no longer push additional papers into bulging
files. When I saw her online ad and noted she was in Phoenix, I called
immediately.
Ms. Simpson is a consummate professional. She finds out quickly
through prepared questionnaires and personal interview, exactly what
YOU wish to accomplish. She won't decide what needs to be thrown out,
but she is a font of wisdom regarding what needs to be kept for
various financial or tax reasons, and very helpful in making
suggestions about how to organize what you definitely need, what you
may want to keep, etc.
She has specific rules (should you put papers in file from newest to
oldest or oldest to newest; should you label the top of the file on
the back or front of the file"), and explains why her choices are
better than the alternatives. Feel free, of course, to do it your way
instead, but I was amazed at how much easier her way made things. She
specializes in simple solutions to common problems.
I caution that organizational services may cost more than expected, in
part because the tasks take longer to accomplish than one initially
thinks, and in part because once you see how well she has organized,
say, your office, all of a sudden organizing the attic or garage or
basement become considerations worth exploring. And like any new
habit, it is easy to fall out of it, and you may need to call for an
extra appointment in six months or so to "catch up".
Be prepared that this is a team effort; Valerie works hard, but so
will you. You can't get organizing done by just delegating her to do
it. It's much more interactive than that, so you need to plan the
time. But it's well worth while when you've finished.

"For the longest time, when it comes to getting
my office organized, I spent more energy trying to figure out what to
do than doing it. In just an hour I learned the essential actions I
needed to take and parameters to keep it going.
I reduced four stuffed file cabinet drawers to one and a half drawers
in three committed hours. I can now find things I thought I had lost!
I find things faster. I'm less stressed with "information overload"
because I now have a much better way to handle "incoming". I will save
the time invested in getting everything in order probably in a couple
weeks.
The very next day was the test. I passed with flying colors. I was
able to put my fingers on several items within a minute that
previously would have left me wondering where in the world did I put
them! I bought bankers boxes, I have eliminated 2 drawers in my other filing
cabinet and 3 shelves worth of 'stuff" that belongs more in long term
storage (i.e. tax & academic info). I tackle one part each week now
and I am making unbelievable gains in my ability to get and stay
